NO.1正式英语语言使用规范
Formal English Language Usage
电子邮件属于正式书面用语写作,所以要重视句式结构,将句子写完整非常重要,一个完整的句子架构通常是主语+谓语+宾语构成的。
EX. I have a question regarding to my assignment.;
在邮件写作中要把单词分开写清,勿使用缩写形式
EX. I am not, I do not, I will not;
讲究书写的逻辑关系,多使用but, if,and,or这种连词来进行全文的承上启下,使长句子更容易被人理解;
段落清晰完整,每段邮件有自己清晰的分论点;
注意标点符号的运用,每句话都需要有明确的标点符号;
1. Subject+Verb+Object, a complete sentence structure
In formal written expression, writing a complete sentence is crucial in emailing
EX. I have a question regarding to my assignment.
2. Words should be separate, should not use abbreviation.
EX. I am not, I do not, I will not etc.
3. Use more words such as but, if, and, or to make transitions between sentences in order to help readers understand your logistics.
4. Each paragraph should have their subpoints
5. Each sentence should have clear punctuation marks .
NO. 2问候和礼貌用语
Greetings and Courtesy
Part 1
问候语
与教授或者讲师沟通时,使用 Dear professor/Mr. Last name 作为邮件的开头。
Part 2
开始句形式
如果是首次发邮件,可以在邮件的第一段先向别人问好:
EX. How are you? How is your life going? How is your morning treating you so far? ;
如果是回复别人的邮件,在邮件的第一段则应先表示感谢:
EX.Thank you for the quick reply. Thank you for getting back to me. Thank you for the updated information.
若是回复别人邮件晚了,可以用下列句子表示歉意:
Sorry for the late reply. Sorry I have not got back to you sooner . Sorry for the delay getting back to you.
若是突发事件或者在上一封电邮的沟通中没有说清楚,可以使用下面句式:
Apologies for the late/short notice.
I apologize if this was not made clear;

Email should use “Dear professor/Mr./Mrs./Miss + Last name” to start with

Greetings
If it is the first time to send email to this person, greetings are very important.

If you receive replies from others, use these sentences to show your appreciation

If you did not reply others immediately, you could use these sentences to show your apologies

If it was urgent or the point was not clear before, you should use

Part 1
与教师沟通时尽量不要使用“please”这个单词。一般使用please会给人一种命令的形式,尤其是对老师交流这样沟通会有些不太礼貌。取而代之,可以使用,would you, could you 这种句式形式来表示求助的一种方式:
At your convenience, would you send me…..
最后记得加上Thank you for your assistance./ I look forward to hearing back from you soon.
Part 2
在最后落款时需要用一些祝福语或者表示尊敬的短句并且附上你的全名。
EX. Best regards, Your sincerely, Sincerely 等
Part 1
“Please” is a word that most international students would use on multiple occasions. However, most of them did not know it is a commanding word if it was using separately in different scenarios. Instead, “would you, could you” would be a better choice to ask for help or a favor:
EX. At your convenience, would you send me…..
Then at the very end, you can add “Thank you for your assistance/ I look forward to hearing from you soon”.
Part 2
At the very end of the email, you should use a sentence to send your respect or blessing including your full name.
